Wound Dock™ (“Wound Dock,” “we,” “us,” or “our”) is a software-based online platform owned and operated by Ice Cold Medical LLC. The Platform connects patients with independent wound care providers (the “Platform”). We are committed to protecting your privacy and safeguarding the personal information you provide when using our website and services. This Privacy Policy explains how we collect, use, disclose, and protect information obtained through the Platform. It applies solely to information collected by Wound Dock™ and does not apply to the independent practices, websites, or privacy policies of wound care providers listed on the Platform.
1. Platform Services and Medical Disclaimer
Wound Dock™ is a technology and information platform only. We do not provide medical advice, diagnosis, treatment, or healthcare services of any kind. Content available through the Platform, including provider descriptions and educational materials, is provided for general informational purposes only and is not a substitute for professional medical advice. Healthcare providers listed on the Platform are independent third parties who are solely responsible for the medical care and services they provide, as well as for maintaining their own medical records and compliance with applicable healthcare laws.
2. Acceptance of Privacy Policy and Terms of Use
By accessing or using the Platform, you acknowledge that you have read and agree to this Privacy Policy and our Terms of Use, and you consent to the collection, use, storage, and disclosure of information as described herein.
3. Information We Collect
We may collect information you provide directly, including personal details such as name, email address, phone number, account registration information for providers or administrative users, non-clinical inquiries or messages submitted through the Platform, and communications sent to us, including support requests or feedback. The Platform is not designed to collect medical records, diagnoses, treatment information, or other protected health information (“PHI”) from patients. Healthcare providers may submit professional and practice-related information for listing purposes, including credentials, licenses, certifications, practice locations, areas of focus, and scheduling or administrative details. Providers are responsible for the accuracy and completeness of the information they submit. When you use the Platform, we may also automatically collect certain non-personal information, such as IP address, browser type, device information, operating system, referring URLs, pages viewed, search queries, and interaction data. This information is used for analytics, security, and Platform functionality.
4. How We Use Information
We use the information collected to operate, maintain, and improve the Platform, facilitate connections between users and independent healthcare providers, respond to inquiries, provide customer support, send administrative or service-related communications, monitor usage for security, fraud prevention, and compliance purposes, and analyze trends to improve functionality and user experience. We do not use information to provide medical advice or make medical determinations.
5. Information Sharing and Disclosure
We do not sell, rent, or trade personal information for marketing purposes. We may share information with wound care providers when you choose to contact or connect with a provider through the Platform, and with third-party service providers who perform services on our behalf, such as hosting, analytics, or customer support, subject to confidentiality obligations. We may also disclose information to comply with applicable laws, regulations, subpoenas, or legal processes; in connection with a merger, acquisition, financing, or sale of assets; or to protect the rights, property, safety, or security of Wound Dock™, users, or the public.
6. Cookies and Tracking Technologies
We may use cookies and similar technologies to enable core functionality, remember preferences, analyze traffic, and improve performance. You may adjust cookie settings through your browser; however, some features of the Platform may not function properly if cookies are disabled.
7. Data Security
We implement reasonable administrative, technical, and physical safeguards designed to protect information from unauthorized access, use, or disclosure. No system can guarantee absolute security, and use of the Platform is at your own risk.
8. HIPAA and Health Information
Wound Dock™ is not a “covered entity” or “business associate” under the Health Insurance Portability and Accountability Act (HIPAA). We do not collect, store, or maintain protected health information on behalf of healthcare providers. Any medical information shared between users and providers occurs outside the Platform and is governed by the provider’s own privacy practices.
9. Children’s Privacy
The Platform is not intended for use by individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that personal information from a minor has been collected inadvertently, we will take steps to delete such information promptly.
